Selfie + GPS Attendance for Small Factories: What It Fixes and What It Doesn't
For most small factories, attendance is still a paper register or a spreadsheet filled in by hand, then reconciled at month-end against half-remembered leave days and late arrivals. It's slow, it's easy to fudge, and by the time a discrepancy surfaces it's usually payroll day and too late to check properly.
The usual answer is "buy a biometric machine" or "buy an HRMS". For a team of under 25 or 30 people, both are often the wrong size. This is what a lighter option — selfie plus GPS check-in on the employee's own phone — actually fixes, and where it falls short.
What selfie + GPS attendance is
The employee opens a web app on their phone, takes a selfie, and checks in. The app compares the selfie against a stored reference photo and checks the phone's location against a defined radius around the site. If both pass, attendance is logged with a time stamp. Check-out works the same way.
What it fixes
- No hardware to install. No device to buy, mount, maintain or replace at each site. That matters most if you run more than one location.
- Fewer disputes. A time-stamped record with a photo and a location beats "I was here, you forgot to mark me".
- Less month-end arithmetic. When attendance, leave and advances live in one system, payroll becomes a calculation the system does, not an exercise someone repeats from memory.
- Works for different setups. One fixed site, several branches, or field staff with no fixed site can all be handled, as long as the system is designed for it from the start.
What it doesn't fix
Be honest with yourself about the limits before rolling anything out:
- GPS can be faked. Mock-location apps and rooted phones can fool a basic location check. Stronger anti-spoofing exists, but it's a later layer, not a given.
- Shared or basic phones. If part of your workforce doesn't carry a smartphone, you need a plan for them — a supervisor-assisted check-in, or a shared device at the gate.
- Connectivity and edge cases. Missed punches happen. A good system lets staff request a correction and lets an admin approve it, instead of pretending it never occurs.
- It's still a people question. A tool can't fix a culture where supervisors quietly approve everything.
Handle employee data carefully
A system like this holds photos, locations and identity documents. Keep access limited to admins, store ID numbers masked instead of in full, and tell employees clearly what is collected and why. With India's data protection rules, it's worth getting proper advice on consent and retention before you go live.
Who it suits
Small manufacturers and distributors who have outgrown the paper register but don't want to configure a full HRMS built for a company ten times their size. I'm building exactly this as part of my own work — see the Attendance & Payroll Platform case study for how it's put together and where it stands today.
